Client Management

Client Management in Klubbil

Effective client management is essential for building strong business relationships. Klubbil provides a comprehensive client management system that works seamlessly across multiple businesses.

Adding New Clients

  1. Navigate to ClientsAll Clients
  2. Click the + Add Client button
  3. Fill in the client details:
    • Client name (individual or company)
    • Contact person (if a company)
    • Email address
    • Phone number
    • Billing address
    • Shipping address (if different)
    • Tax/VAT number
    • Default currency
    • Payment terms
  4. Optionally, add notes about the client
  5. Select which of your businesses this client belongs to
  6. Click Save Client

Client Dashboard

The client dashboard provides a comprehensive view of each client:

  • Overview: Key metrics and recent activity
  • Invoices: All invoices associated with this client
  • Payments: Payment history and outstanding balances
  • Documents: Contracts and other shared documents
  • Notes: Internal notes and communication history
  • Settings: Client-specific preferences

Managing Client Access

Grant your clients secure access to their own portal:

  1. Go to the client's profile
  2. Toggle on Client Portal Access
  3. Set permission levels for what the client can view or edit
  4. An invitation email will be sent to the client

Assigning Clients to Multiple Businesses

If you work with the same client across different businesses:

  1. Go to the client's profile
  2. Click on Business Associations
  3. Select additional businesses to associate with this client
  4. Customize client details for each business if needed (e.g., different billing contacts)
  5. Click Update Associations

Client Categories and Tags

Organize your clients for better management:

  1. Create custom categories under SettingsClient Categories
  2. Add tags to clients for filtering and searching
  3. Set up automated workflows based on categories or tags

Client Communication

Maintain all client communications in one place:

  1. Send emails directly from the client profile
  2. Log phone calls and meetings
  3. Schedule follow-ups and reminders
  4. Create client-specific email templates

Reports and Analytics

Gain insights into your client relationships:

  1. Go to ReportsClient Analysis
  2. View metrics like:
    • Client lifetime value
    • Average days to payment
    • Revenue by client
    • Growth over time
    • Business distribution for multi-business clients

Best Practices

  • Keep client information up-to-date with regular reviews
  • Use consistent naming conventions across all businesses
  • Document all significant client interactions
  • Review inactive clients periodically for re-engagement opportunities
  • Set up alerts for important client events (large payments, contract renewals)
